About the Employer

The European University at Saint Petersburg (EUSP) is a private graduate school and one of the top research universities in humanities and social sciences in Russia. EUSP International MA Programs focus on Russian and Eurasian Studies, Energy Politics and Energy Transition taught in English to students from North America, Western Europe, Russia, and other parts of the world. We teach up to 50 international students per year.

Job Summary

As an International Programs (IP) Administrator, you will conduct daily management of financial matters, contracts and agreements, and faculty hiring and scheduling issues throughout the academic year and during the summer. You will be working primarily with the IP Director and nearly 20 IP professors as their first point of contact. You will be expected to maintain accurate financial records and to ensure the provision of an excellent employment experience.

You shall report to the IP Director as well as demonstrate willingness and ability to work on frequent tasks with other administrative employees of the university.

This is an excellent opportunity for a professional with a three-to-five year experience to foster their skills in the field of university administration.

Qualifications and Skills

  • Bachelor’s degree or higher;
  • Previous administrative experience preferably in an academic environment;
  • Work experience in budgeting and financial reporting;
  • Fluency in Russian and English (spoken and written – most tasks are performed through email);
  • Proficiency in use of MS Word and Excel, experience of working with databases;
  • Good organization and time-management skills in order to handle a large volume of work with competing deadlines;
  • Good interpersonal skills, sensitive to diversity and desire to work in a multicultural environment;
  • Collaborative and cooperative teamwork approach, readiness to solve sophisticated tasks;
  • Project management experience is a significant advantage;
  • Previous experience in teaching contracts (трудовые договоры и ДГПХ) administration is a plus;
  • Ability to read legal documents is a plus;
  • Study or work experience abroad will be an asset.

Tasks and Responsibilities

Daily administrative management of the International Programs, which entail:

  • Budgeting: planning, controlling and financial reporting on IP income and expenditures in different currencies;
  • Keeping regular financial records of the IP department (electronically and paper-based);
  • Paperwork with financial documents: preparing invoices and closing documents for the Accountants Office, translating such papers into Russian, managing contracts with vendors and service suppliers, business trips administrative support;
  • Proactive communication with professors, fellow administrative employees and IP guest speakers (face-to-face, e-mail, messengers);
  • Administrative support for the faculty members and guest speakers: storing and processing documents for long- and short-term contracts, forming independent contractors’ agreements (ДГПХ), payments supervision; visa support, help with accommodation, collecting vaccination certificates, etc.;
  • Assisting professors in storing and sharing course-related materials through the university’s Learning Management System (Sakai);
  • Organizing and supporting distance learning activities: helping professors solve technical issues during online classes in Zoom, BlueJeans, and MS Teams;
  • Organizational support for guest speakers at open lectures and workshops;
  • Administrative support for IP students: academic affairs paperwork, facilitating international student mobility, managing institutional partnership agreements;
  • Occasional interpreting and translating (e.g. an administrative email message or instructions from Russian into English);
  • Working on small occasional projects (excursions, visits to the museums, theatres, summer schools, off-site study modules etc.) and participation in social events in the evenings.

Work Schedule: Monday — Friday, 10:00–19:00, full-time, offline (in the office at 6/1 Gagarinskaya st.), 28 days of vacation per year (usually split into two-three parts).

Flexibility is essential as some extra working hours and reasonable accommodation to differences in time zones may be required.

Probation period: 3 months.

Salary: 60 000 RUB before income tax.

The selection process will include an assessment and a panel interview in English.
